Privacy Policy
Ranza SARL, operator of Ranza Academy and controller of your data (see the last section), is committed to protecting the personal data of the platform's users, in line with the principles of necessity, proportionality and transparency.
1. Data we collect We collect: your account information (name, email, phone, country or island of residence, preferred language); if you sign in with Google or Microsoft, the name and email address that service gives us; your self-assessment answers and your progress through courses and programmes, including quiz results, written work and voice recordings you submit for review; the projects, documents and photos you submit; your profile photo if you upload one; your mentoring bookings, service requests and exchanges with Msaidizi; and the technical connection logs needed to keep the site secure. If you order from the shop, even without an account: your name, mobile number, delivery address where relevant, what you order, the payment you declare and your messages with the shop, including on WhatsApp. If you follow a programme run with a partner organisation, the steps of your way into work that our team records (company, step, date).
2. Payment data When you buy a membership we record the plan, the amount, the payment method, our reference code, the transaction number and, for mobile money, MECK or cash, the receipt you send us. Card and PayPal payments are handled by PayPal: we never receive or store your card number. We keep a record of each payment, of any refund, and of the dates of your membership.
3. Why we use it This data is used to run your account, give you access to what your plan includes, confirm and refund payments, evaluate your work and your projects and direct you to the right stage, issue and verify certificates, connect you with a mentor, trainer, provider or investor, track vouchers and sponsored places, send you service messages (email confirmation, payment receipts, reminders), keep the platform secure, and improve Msaidizi's answers.
4. Who can see your data Depending on your role and your choices: your mentors, trainers and reviewers; the officers of your own organisation; investors, only for a project you have made available to them; and other visitors, only for what you choose to make public (a mentor or provider listing, a public project summary). Sponsors receive figures about the learners they support, and personal details only with your agreement. Ranza Academy's administrators have the access needed to operate the platform. We do not sell your data, and we do not share it with third parties for their own commercial purposes. If you join a cohort with a partner organisation's code (for example an institution that funds your places), that organisation receives a named follow-up of the cohort: name, email, island, progress, certificates and placement steps, under the agreement between it and Ranza SARL; by using the code, you agree to this follow-up. An order placed in the shop is passed to that shop so it can be prepared and delivered.
5. Service providers we rely on To run the platform we use: PayPal for card and PayPal payments; Cloudflare for protection against automated abuse and for storing and delivering uploaded files and videos; Microsoft for sending our emails and, if you choose it, for sign-in; Google if you choose to sign in with Google; and a hosting provider for our servers. They process data on our behalf or as needed to provide their service, and some are located outside your country of residence. Microsoft Azure (data centre in Sweden, in the European Union). We also use Meta (WhatsApp Business) for messages and orders on WhatsApp, and Microsoft Azure to transcribe the spoken recordings you submit for correction.
6. Msaidizi, our assistant When you ask Msaidizi a question, it searches Ranza Academy's courses, FAQ and approved public documents, then has an artificial-intelligence service write a short answer citing its sources. To do this, your question, your last few exchanges with Msaidizi and the matching passages are sent to Microsoft Azure, in a data centre in Sweden. Your name and email address are not sent, and Microsoft does not use this content to train its models. We keep each question with its answer, its sources, the language and the date, and your rating if you give one, to improve Msaidizi's answers and spot missing information. If you are signed in, the question is linked to your account. If you are not, we keep no name, email or internet address with it; only a coded form of your address is kept, for one day, to count the questions allowed per day. Questions and answers are deleted after 12 months. If you choose "Ask an officer", your question is passed to our team as a request in your account. Please don't include sensitive personal information (health, identity documents, passwords) in your questions. Msaidizi can make mistakes: check important points with an officer. When signed in, you can find your past exchanges with Msaidizi, and our team's answer to a question passed on, under "My past exchanges".
7. Cookies The site uses essential cookies: one to keep you signed in, one to remember your language, and a security check that tells people from automated programs. If you take the self-assessment before signing in, a cookie keeps your answers on your device for 7 days so the result can join your account when you sign up or sign in; it is not used for anything else. With your consent, we may also use anonymised audience-measurement cookies to understand how the site is used; you may decline these without affecting your access to the platform.
8. Data retention Your data is kept for as long as your account is active. Deleting your account: you can delete your account at any time, from your Profile ("Your data and account") or by following the "Delete your account" page. You are signed out at once and the account is deleted after 30 days; signing in again before then cancels the deletion. What is then erased: your name, email, phone, photo and Google or Microsoft sign-in, your work, test answers and recordings, projects, posts, bookings, notifications and conversations. Conversations: messages exchanged on WhatsApp, with shops and with Msaidizi are kept for 12 months, then deleted automatically. Your agreement to receive our offers, or your STOP request, is kept for as long as your number is in our contacts, so that a STOP is always respected. Payments and accounting: payment records, invoices, refunds and transaction references are kept for 10 years, as accounting regulations require (OHADA Uniform Act on accounting law), including after your account is deleted. They are then linked to an anonymised account and used only for accounting and tax obligations and regulatory controls. Certificates: they remain verifiable by their code; after your account is deleted, they no longer show your name. Disputes: data needed for an ongoing dispute is kept until it is resolved.
9. Your rights You may request access to, correction of, or deletion of your personal data, or object to a processing, by writing to contact@ranzaacademy.com. You can also delete your account yourself from your Profile, or leave an organisation you are a guest of without deleting your account. We answer every request within 30 days.
10. Security Passwords are stored in hashed form and are never accessible in plain text, including by our own team. Connections to the site are encrypted. Two-step verification is available for administrator accounts, and access to data is limited to people whose role requires it.
11. Minors The platform is not intended for people under 18 without a legal guardian's consent.
12. Changes This policy may be updated; the date of the latest version appears below.
